Auto Italia Vendors

The Auto Italia Committee promotes the ownership and appreciation of Italian vehicles and encourages stalls that support and enhance the Auto Italia event.
For 2025 the event is again being held at Queanbeyan Park, NSW.  Stallholders should offer products or services that are compatible with Italian culture and/or the Italian automotive industry.

General information for Vendors

Date:  Sunday 13 April 2025.

Time:   Venue gates open at 7:00 AM and vendors can enter from then on, but marshalling support (ie confirmation of setup position) will not be available until 8:00 AM.  Earlier vendor arrival can be arranged by specific and confirmed contact with the event organisers.  Please arrive before 8:30 so as to limit pedestrian conflicts in this open space. Car exhibitors and organisers will be present in strength from 8:00 onwards in case you would like to set up and start trading earlier.  The event proper runs from 10:00 AM to 2:30 PM and your services should remain available for all of that time.  Pulldown can commence at 2:30 PM and must be complete before the venue gates are closed at 5:30 PM.  

Location of the event:  The event is returning to Queanbeyan Park after last year's excursion to the Queanbeyan Showground.  The venue has plentiful amenities, with wide green garden area to display cars and stalls and only 15 minutes away from the Canberra CBD. 

Vendor Entry:   Vendors will either have direct access to their site from the road or will enter with display vehicles, as indicated on the detailed layout maps that will be made available.

Location of your stall:  Vendors will be distributed between two sites each along Lowe St and Campbell St, one site outside the northern edge of the oval and, possibly, two on the oval.  Confirmed vendors will be allocated sites on the layout and will be sent detailed layout diagrams showing location of stall and entry paths.  

​Infrastructure:  Please bring your own marquees, tables and chairs. Please note that any marquees or structures must be secured against wind movement by weights.

Power:  Power is available at the southern sites on Campbell and Lowe St.  Vendors at these sites will require their own power infrastructure to connect to the venue power outlets.  Vendors who use site power will be charged an additional power access fee of $175.  Site power will be available to vendors from 7:00AM on event day.  Vendors who need power and elect to bring generators instead of paying the power fee may be allocated sites further away from the power sources and will need to ensure that their generators are silenced sufficiently to not interfere with the audio ambience of the event.  Detailed allocation plans will be generated for those using site power to ensure everyone gets power on the day.  

Parking:  Parking for vendor support vehicles (eg food preparation, resupply) will be available to the rear of vendor sites, except on the oval where vehicles not consistent with the marques of the area will have to be removed. 
For vendors in the Lowe St and Campbell st sites, vehicles not required for the sustainment of stall operations at Lowe and Campbell Streets must be removed to
nearby public parking areas. 
For vendors in the Centre and Oval stall sites, the only vehicles that can remain at the stall for the duration of the event are those that are:
  • required for stock management,
  • an integral part of the stall display,
  • provide advertising for the stall, or
  • of an Italian marque. 
If your vehicle does not meet one of the above criteria, then we ask that you relocate your vehicle around to the Trailer Park via the general anticlockwise flow of the event traffic, and leave it there for the duration of the event.  

Fees:  We charge fees to generate the funds necessary to run the following year’s event.  We charge food and drink vendors extra in order to recover cost associated with hiring additional facilities necessary for their operation.  Stall sizing is based on 3x3m marquees.

​Fees are to be paid in advance, and vendors are requested to register sooner rather than later.  A late fee of $100 will apply to vendor registrations concluded after Thursday 10 April 2025.

Food Registration:
 If you are serving food or drink please indicate that you have gained the NSW food registration certificates necessary for your catering services on the day.  As per NSW health protection guidelines, please register your food service with Queanbeyan Palerang Regional Council as per https://www.qprc.nsw.gov.au/Services/Health-Safety/Food-Safety. 

Wet Weather:  If heavy rain causes the event surface to be unusable then the event could terminated or relocated by the local Council – if so we will notify participants.  If the grounds are waterlogged from previous rain then the event will either be reorganised to operate from available hardstand, abandoned, or relocated, and participants will notified as soon as possible.  In the case of predicted minor wet weather or unexpected rain on the day the event will continue.  
If the event is cancelled due to COVID or inaccessibility of the ground due to weather, fees will be refunded to the extent possible. It is recommended that if applicable you come equipped with shelter against cold and minor rain, e.g. a gazebo tent.

Reads:  The event features a full time announcer, who through the day will read a text of your choice for promoting your stall.  Please provide any text that you would like to hear read out, about 10 seconds worth.  Vendors can expect two reads across the day.
