Auto Italia Canberra Vendors
The Italian Cars Association (ICA) promotes the ownership and appreciation of Italian vehicles and therefore encourages stalls that support and enhance the Auto Italia Canberra event.
For 2020 the event is being held at the Exhibition Park In Canberra (EPIC), Mitchell ACT. Stallholders should offer products or services that are compatible with Italian culture and/or the Italian automotive industry.
General information for Vendors
Date: Sunday 29 March 2020.
Time: Venue gates open at 7:00 AM and vendors can enter from then on, but marshalling support (ie confirmation of setup position) will not be available until 8:00 AM. Please arrive before 8:30 so as to limit pedestrian conflicts in this open space. Car exhibitors and organisers will be present in strength from 8:00 onwards in case you would like to set up earlier. The event proper runs from 10:00 AM to 2:00 PM and your services should remain available for all of that time. Pulldown can commence at 2:00 PM and must be complete before the venue gates are closed at 3:00 PM.
Location of the event: Exhibition Park in Canberra (EPIC), corner of Flemington Rd and Northbourne Avenue, Mitchell ACT.
Vendor Entry: Will be with Fiat/Alfa exhibitor entries via the Mallee Pavilion entry to the Arena, via the Stirling Avenue entry to the EPIC precinct, off the Federal Highway. A detailed access map and entry voucher will be provided. Identify yourself to the entrance marshals as a vendor using the voucher and they will direct you appropriately.
Location of your stall: See the maps page on this site. Confirmed vendors will be allocated sites on the layout and will be sent detailed layout diagrams showing location of stall and entry paths.
Infrastructure: Please bring your own marquees, tables and chairs. Please note that any marquees or structures must be secured against wind movement by weights. It is an EPIC requirement that any structure larger than a 3x3 marquee must be accompanied by either an engineer’s certificate or evidence that the weighting used complies with the manufacturer’s recommendations.
Power: Power should be available to most stallholder sites for this event. Please advise power requirements so that total draw can be addressed. Every attempt will be made to have power available, but for some vendors power needs may have to be met by your own source. It is an EPIC requirement that all power infrastructure is tagged in accordance with Workcover requirements, and EPIC retain the right to disconnect any non-compliant cabling.
Parking: Parking for vendor support vehicles (eg food preparation, resupply) will be available to the rear of vendor sites. Vehicles not required for the sustainment of stall operations must be removed to a vendor parking area at the north of the arena.
Fees: We charge food and drink vendors extra in order to recover EPIC site fees. The schedule of fees for 2020 is:
Vendor Type Single Double Triple
Food/Drink vendor $450 $750 $1,050
Other vendor $300 $500 $700
Fees are to be paid in advance, and vendors re requested to register sooner rather than later. A late fee of $100 will apply to vendor registrations concluded after Thursday 19 March 2020.
Food Regulation Certificates: If you are serving food or drink please indicate that you have gained the ACT or other state food registration certificates appropriate to your catering services on the day. As per the ACT Health Protection Service requirements, a current certificate must be available in your stall and will be inspected by a committee member on the day.
Wet Weather: If heavy rain is predicted for the event day then the event could be abandoned at short notice – if so we will notify participants. If the grounds are waterlogged from previous rain then the event will either be reorganised to operate from available hardstand or abandoned, with participants notified. In the case of predicted minor wet weather or unexpected rain on the day the event will continue. If the event is abandoned fees will not be refunded. It is recommended that if applicable you come equipped with shelter against minor rain, e.g. a gazebo tent.
Reads: The event features a full time announcer, who through the day will read a text of your choice for promoting your stall. Please provide any text that you would like to hear read out, about 10 seconds worth. Vendors can expect two reads across the day.
Point of Contact: The point of contact for any of the above matters is the ICA Concessionaires Manager, Mr Matt Townsend, available via email@example.com (preferred) or 0427 275 038. Note that a response will probably be delayed until after working hours.
To register interest in either a stall or to sell food, please complete and submit the form below. Under "Describe your Business", please provide a brief description of the products and or services that you are proposing to showcase or sell at Auto Italia Canberra.
